The Town bid for these Services from ITB# RS-26-16 and received nine (9) responses. The bid included three (3) landscape maintenance zones, and it is specified in the bid specifications that the Town will award to multiple bidders based on the pre-identified landscape maintenance zones. After review of the bids, staff recommends to the Town Council to award the bid for Zone 1 to E. Rodriguez Landscaping Inc. for an annual base price of $285,960 as the primary vendor, Juniper Landscaping of Florida, LLC for a base price of $436,720 as the secondary vendor, and Brightview Landscape Services, Inc. and for a base price of $492,290 as the tertiary vendor, for Zone 2 to Juniper Landscaping of Florida, LLC for an annual base price of $217,264 as the primary vendor, EDJ Service LLC for a base price of $220,571.58 as the secondary vendor, and Brightview Landscape Services, Inc. for a base price of $241,054 as the tertiary vendor and for Zone 3 to E. The initial contract shall be for a period of two (2) years from execution of the agreement. In addition, the Town reserves the right to renew the contract for two (2) additional two (2) year periods, providing that both parties agree that all terms, conditions and specifications remain the same, contingent upon approval by the Town Administrator.

The Town reserves the right to administratively activate the secondary vendor(s) Juniper Landscaping of Florida, LLC for Zone 1, and/or EDJ Service LLC for Zone 2, and/or Juniper Landscaping of Florida, LLC for Zone 3 in the event one or more of the primary vendor(s) is unable to perform as required per the agreement and administratively activate the tertiary vendor(s) Brightview Landscape Services, Inc. for Zone 1, and/or Brightview Landscape Services, Inc. for Zone 2, and/or EDJ Service LLC in the event one or more of the secondary vendor(s) is unable to perform as required per the agreement.

The contract establishes unit prices for optional services that the Town may request as needed.

This contract prohibits the use of Glyphosate.

This contract prohibits grass clippings from being blown into drainage structures.

The total base cost of the current contracts that are about to expire is approximately $850,000.

The total base cost of the recommended to award primary vendors is approximately $100,000 lower than the contract it replaces (approximately $750,000).
